This policy describes how BAYWORX ("we", "us") collects, uses and protects information about the people and companies we provide IT services to. It applies to this support portal, to our support email and text messaging, and to the monitoring software we install on systems we manage.

Information we collect

  • Contact details you give us - name, company, work email address, and telephone or mobile number.
  • Support correspondence - the content of support requests you file, and email or text messages you exchange with us about them.
  • Account information - your portal sign-in credentials, stored in hashed form, and the times you sign in.
  • Technical information from managed systems - hostnames, operating system and software versions, hardware inventory, available updates, and health metrics from computers we manage for your company under an active agreement.

How we use it

We use this information to deliver and support the services your company has engaged us for: responding to support requests, keeping you informed about their progress, maintaining and securing the systems we manage, and billing. We do not sell personal information, and we do not use it for advertising.

Text messaging

Where you have given consent, we send text messages about your support requests - confirming that we received a request, notifying you when someone responds, and telling you when its status changes. These are service messages about work you have asked us to do. We do not send marketing texts.

Providing a mobile number for text messages is optional, and consent to receive them is never a condition of receiving support. You can give or withdraw consent at any time, and you can ask us to stop by replying STOP to any message from us or by contacting us directly. Reply HELP for help. Message frequency varies with the activity on your support requests. Message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Who we share it with

We share information only with the service providers we use to operate the business - our email, telecommunications, accounting and remote-support vendors - and only to the extent they need it to provide those services to us. We also disclose information where the law requires it. We do not sell or rent personal information to anyone, and we do not share it with third parties for their own marketing.

How long we keep it

Support correspondence and ticket history are kept for the life of the client relationship and for a period afterwards, so that we can answer questions about work we performed. Monitoring and system-health data is kept for a shorter operational window. Records we are required to retain for tax or contractual reasons are kept for as long as that requires.

Security

Access to client data is restricted to our staff, and credentials and other sensitive records are encrypted where they are stored. Portal accounts are individual, and a customer contact can only see their own company's requests.

Your choices

You can ask us what information we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, and withdraw consent to text messaging. Contact us using the details below and we will respond.
